Role: Planview Admin
Location: 5 Penn Plaza, NYC (Locals - F2F Must)
Duration: 10 months
Configuration:
- Configuring the SXM instance of Planview
- Maintaining the specific data of the IT organization inside the tool including organizational structures and resource population
- Building and maintaining the technical workflows to match SXM business processes
- Maintaining data structures used to capture critical IT operational data used to make decisions
- Configure additional modules not enabled in the initial implementation
- Supporting regular updates of the environment, and all the associated testing, configuration and training
- Extend tables, structures and calendars to meet existing and future business needs
- Build lifecycles (workflows) to match SXM IT processes
Training and Support
- Assist system users (approx. 400 users and likely increasing) with questions -- this role is the primary support point for this centralized system
- Establishing the onboarding training material for new employees and system users
- Proactively train and correct users on proper usage of the system to ensure data integrity is maintained at all times
- Reporting
- Generating requested executive reporting
- Creating and maintaining reporting dashboards for user community
- Building reporting portals customized to teams within the IT organization
- Investigating ways to extract data into reports to support business needs
- Establishing and monitoring data flows in/out of the system such as (but not limited to): business reporting, xls updates maintained in Sharepoint, manual time reporting update files
Administration
- Constant evaluation of the system operations and output to detect and resolve issues before they become obstacles of system usage
- Release/Change management of the platform to ensure changes are fully tested and communicated before deployment
- Constant evaluation of the quality of the data in the system including entry for all sources to ensure standards are followed
- Monitoring the creation of work and reporting on non-compliant data entry
- Reconciliation of data sources to ensure data in the system is maintained
- Ensuring high availability of the system for the user community
- Maintaining the capitalization fields used by finance and accounting and detecting any gaps in the data being sent to these organizations
- Maintaining the organizational structure inside Planview as it changes
- Maintaining a current resource listing using various inputs including HR notifications, RM notifications and data from the tool
- Security management of sensitive planning data included in the system
- Evaluation, and as needed correction, of Planview operations against the current Security and Compliance guidelines
- Support for audits of the systems (SOX, Financial Audit, etc.)
Communications and User Support
- Inform system users of any changes or information that will help ensure full utilization of the platform
- Notification to users of downtime, maintenance or other impacting system events
- Ongoing management of the external system documentation (Sharepoint)
- Proactive follow-up with any issues with usage of the system
- Prompt response to user community questions and issues
- Trouble/Problem management using ITSM management tools
- Vendor Management
- Investigate problems and identify solutions or a need to contact the vendor for answers or problem resolution
- Submission and management of trouble tickets with the vendor
- Mastery of the vendor user community and set of tools to gain insight from other users in the Planview community
- Data Analysis and Presentation
- Building metrics to monitor and report the health of the data in the system
- Support users in identifying or creating output mechanisms to provide data as needed
- Creating of executive reporting and presentations based on data generated by the system
- 2--4 years of experience in a Project Management (PMO) environment
- Extensive hands on experience with the SXM instance of Planview
- Strong experience in all MS-Office applications, used to import data in/out of the platform
- Experience reconciling data sources to ensure the system contains clean and verified data
- Understanding of how databases are configured, specifically as it relates to performance of queries and the impact of various queries against applications platforms
- Ability to create and manage content on the internal Sharepoint intranet site to provide communications to the wide user community
- Working knowledge with PowerBI is a plus
- Proven skills and ability to work with IT and Business executives
- Strong communications skills to communicate with the large user community
- Bachelor's Degree in Project Management, Computer Science, Information Systems, Business Administration, or other related field. Or equivalent work experience.
- Planview Administrator's Course
- Completion of PRISMs training (Enablement Paths) for all Roles to understand the complexity of the system
